Is there free software to run a coaching institute?

It is a fair question. The honest answer has four parts, and only one of them is about price.

Published

You typed it into Google and you meant it. A coaching class runs on thin margins in its first years, the fee cycle is uneven, and paying a yearly subscription for software before you are sure it helps feels like the wrong order of things. So: is there free software to run a coaching institute?

Yes, there is — four kinds of it. They are not the same thing, and the difference matters more than the price.

The four things “free” usually means

1. A free trial

A full paid product, yours for a few weeks. Useful for looking around, but the wrong length for this decision: the things that break only break at the end of a fee cycle, on a result day, or in the week admissions open.

2. A free tier

Free forever, up to a line. The line is usually students, sometimes staff logins, and very often the parts that cost the vendor money: messaging, receipts, reports. Read what is switched off before you read what is switched on. A fee module that cannot print a receipt is not a fee module.

3. A free download

Desktop software, installed on the computer in the office. Some of it is genuinely good and genuinely old. The risk is not the software, it is the single computer: the data lives there, the backup is somebody’s habit, and the person who knows how it works is one person.

4. Excel and WhatsApp groups

By far the most common, and the most underrated. A spreadsheet plus a few class groups runs a real institute properly for a long time. We have written about when Excel and WhatsApp groups stop being enough honestly, including the part where it is still the right answer.

Where free actually costs you

Not in rupees. In three other places, all easy to miss because none arrives as a bill.

The desk. Every receipt written by hand, every parent rung up about a pending fee, every register typed into a sheet at night is somebody’s evening. That cost is real, recurring, and it grows with every admission.

The fees nobody chased. Pending fees do not usually go missing because a parent refuses. They go missing because nobody noticed in the right week, and by the time somebody did, asking had become awkward. A list that assembles itself is a different thing from a list somebody has to remember to make.

The things you cannot see. Which batch is quietly losing students. Which teacher’s class the marks dip in. Which child has been sliding against their own earlier marks, not against the class topper. None of it is hidden — it is just spread across registers never meant to be read together.

Free software is not expensive. It is invisible-expensive, which is worse, because you cannot put it in front of yourself and decide.

When free is genuinely the right answer

This is the part most software companies skip, so here it is first. Stay where you are if most of these are true:

  • You are under roughly one or two batches and you know every parent’s name.
  • Fees are collected in one or two instalments, in person, and you can name who has not paid without looking.
  • One person handles the desk, and that person is you or someone who sits next to you.
  • You are not yet sure the institute is the thing you are doing for the next five years.

Buying software to fix a problem you do not have yet is the same mistake as refusing to buy it once you do.

The week it stops being free

There is usually a specific week. Admissions open and the enquiry register stops agreeing with the WhatsApp messages. Or you open a second branch and discover “the file” is on a laptop in the other building. Or a parent says they paid, you both believe yourselves, and there is no receipt to settle it.

The signal is not size. It is the first time two records of the same fact disagree and nobody can say which one is right.

What to ask before you pay for anything

Whether you look at us or anyone else, these separate software that will hold from software that becomes another thing to maintain:

  • Can I get my data out myself? Students, fees, receipts — in a file I can open, without asking you.
  • Whose number do parents see? A message from an unknown number gets ignored, whatever it says.
  • Does a receipt exist the moment money is taken? Not at the end of the day, and not in a separate book.
  • Can a teacher be given exactly what a teacher needs? Not the owner’s view with some screens hidden.
  • Does it work on the phone in my hand? Most of this job is not done sitting at a desk.
  • Is the price one number? Per-feature add-ons and a percentage of fees collected are two very different business models from a flat subscription.

Where Drishtaa sits, plainly

Drishtaa has no free plan and no self-serve trial. We think a fortnight of poking at a sample database teaches you nothing, so we do a free demo on your own batch, your own fee structure and your own names instead — and if the answer is that you should stay on Excel for another year, that is a fine outcome of a demo.

What it is: coaching centre software that runs in a browser on a phone or a computer, with nothing to install. Enquiries and demo classes, online admission, fee management with receipts, attendance and marks, teachers with HR and salary, a parent app with study material and reports, and in-app help that answers in Hindi. Messages go out over WhatsApp from your own number, so parents see the number they already have saved. For a two-branch institute, it is the same single record across both — the case for ERP software for a coaching institute rather than two copies of a smaller tool.

The price is a flat annual subscription sized to your student count, every module included, no per-feature add-ons and no commission on the fees you collect. You can read what Drishtaa costs before you talk to anybody. Android and iOS apps are on the roadmap, not available yet.

Common questions

Is there a genuinely free coaching institute management software?

There are free tiers, and there are free downloads. A free tier is usually a paid product with the useful parts switched off — a student limit, one user, no receipts, no messaging. A free download of old desktop software is free because nobody maintains it any more. Both are real options for a very small centre. Neither is free once you are collecting fees from a few hundred families.

Does Drishtaa have a free plan?

No, and we would rather say so plainly than waste your evening. Drishtaa is a flat annual subscription sized to your student count, with every module included. There is no self-serve trial either. What we do instead is a free demo run on your own batch, your own fee structure and your own names, so you are judging the real thing and not a sample database.

What is wrong with running a coaching class on Excel and WhatsApp groups?

Nothing, until the day it breaks. One person holds the file, the groups have no record of who was told what, and a parent who misses a message has no way to check. It works well at a small size and stops working gradually rather than suddenly, which is exactly why it is hard to notice.

Can I move my existing student and fee data into paid software later?

You should assume you will need to, and ask before you start. The question to put to any vendor, free or paid, is whether you can export your students, fees and receipts yourself, in a file you can open, without asking them. If the answer is vague, that is the answer.

Is free software safe for parent and student data?

Judge it on two things: where the data sits, and who can see it. Software installed on one computer in the office is only as safe as that computer and its backups. For anything browser-based, ask whether each staff member has their own login and whether you can limit what a teacher sees.

See it run on your own batch before you decide anything.
